Hotel Cancellation Scam

I booked a Room at Aria Resort in Las Vegas,   I booked the reservation through Southwest Hotels on 11/27/23 with free cancelation by 1/17/24. I was told SW uses Booking.com, however on my credit card the charge is listed as RTI*SWHotels. I was charged $6,420.17 immediately. I never received an email confirmation and I needed to cancel reservation during their free cancelation period. It's impossible to cancel the reservation through booking.com without a confirmation number and pin number that would have been on the confirmation email, but I never received it. I called SW airlines who said I must talk to booking.com. I called and emailed booking.com multiple times, however they will not help without confirmation number and pin number. They cannot even send me a confirmation email (so I can get the numbers) without me providing them the numbers first! I have spent hours working on trying to get my reservation canceled through booking.com and my credit. I did call the hotel and they noted I called to cancel during the free cancelation period, however they can't issue a credit, that has to come from booking.com. This is beyond frustrating.

Hello! I've used Southwest Hotels on numerous occasions. I would try the following:

  • Go to Southwesthotels.com and click on "Manage My Booking". Click on "Resend Confirmation Email" by entering your email address.

The email should arrive within the next few minutes. If the email doesn't show, double check junk/spam. If that still doesn't work, it's possible that the email address that was entered at the time of booking was entered incorrectly. If that's the case, a Booking.com rep will need to help you but I would try calling them again through Southwest Hotels instead of directly through Booking.com. Try this contact info (this is the contact info that I receive in my confirmation emails):

concierge@southwesthotels.com
1-844-782-9792
773-770-4953

Before telling the rep that you're requesting a cancellation, let them know that you booked a hotel room through Southwest Hotels but never received the confirmation email or number. Provide them with your name and email address.

As a general rule of advice going forward (this would apply to booking any hotel or any travel via any carrier): Always save (via screenshot or print to PDF) or do a hard copy print of the confirmation screen following the purchase in case the confirmation email fails to deliver. This will ensure you capture and have record of the confirmation number following the purchase.

I agree. I have other issues, but never have had a problem when using the “resend email” option. If all else fails, you can refuse to pay the credit card company.

I just had this problem and I don't know why this post is marked as "solved."  It certainly isn't.

They can't resend the confirmation email if there's no reservation. It's mind boggling how this happens, but it's definitely a scam! Beware of booking a hotel through Southwest website. I don't know how this can happen.

I had this exact problem! Requesting to send an email for a reservation they don't have doesn't work. Chase has refused to honor my request as a dispute. Extremely frustrating when I never received a confirmation email when making the reservation. Although, I know it was free cancelation within 24 hours of stay I miraculously received an email the morning of my reservation stating that, but it was too late! Total scam!!

Hola!

As a fellow traveler, I understand some of this frustration; however, since there was a mention that the "Information About Your Stay" email was in fact received, that indicates beyond doubt that Booking.com did in fact receive and process the reservation, and successfully booked the room at the hotel in question. I believe Chase denied the dispute on the basis that the failure for a buyer to receive a confirmation email does not place the liability on the seller; it still rests on the buyer due to a number of factors. That is generally the standard and it is also defined specifically in the SW Hotels terms of sale:

Booking.com and Southwest Airlines Co. disclaims any liability or responsibility for any communication with the Supplier on or through its platform. You cannot derive any rights from any request to, or communication with the Supplier or (any form of) acknowledgement of receipt of any communication or request. Neither Booking.com nor Southwest Airlines Co. can guarantee that any request or communication will be (duly and timely) received/read by, complied with, executed or accepted by the Supplier.

In order to duly complete and secure your reservation, you need to use your correct email address. Neither we nor Southwest Airlines Co. are responsible or liable for (and have no obligation to verify) any wrong or misspelled email address or inaccurate or wrong (mobile) phone number or credit card number.

Any claim or complaint against Booking.com or in respect of the Service must be promptly submitted, but in any event within 30 days after the scheduled day of consummation of the product or service (e.g. check out date). Any claim or complaint that is submitted after the 30 days period, may be rejected and the claimant shall forfeit its right to any (damage or cost) compensation.

Due to the continuous update and adjustments of rates and availability, we strongly suggest to make screenshots when making a reservation to support your position (if needed).

Unfortunately, email communication is not foolproof. With all kinds of spam filters and firewalls nowadays to protect us from real scandals, there's going to be chances where legit emails get blocked. I'm not necessarily a pro-SW-Hotels traveler but SW Hotels has delivered on numerous occasions for me with great deals on SW points; thus I continue to patronize it. If I run into a problem that SW Hotels does not resolve, I'll report it.  Case Example of where I was erroneously booked at a property next door to my desired hotel:

https://community.southwest.com/t5/Rapid-Rewards/Oct-23-Southwest-Hotels-Five-One-Night-Trips-at-Fiv...

Most folks reading this won't like my response, (think of it as the grit in the meal) but this case appears to be the buyer's responsibility of not saving the confirmation details after booking. Thus, Chase denied the dispute. Again, I've got to advise what is truthful, not what people want to believe. I don't think SW Hotels is at fault here.

Case Example on not receiving emails: Just a few days ago, I had some very important work-related emails that was communicated to me that my company's spam filter erroneously rejected and bounced back to the sender, thus requiring me to follow up with the sender by phone and working with my IT department to get the domain name in question whitelisted. The sender cannot be at fault. They sent the email. My company's system bounced it, but I'm still responsible for getting the work done.

Contacting the SW Hotels phone number on my 11/30 post or on the SW Hotels website and providing the details would have most likely resolved this issue as others who had similar issues followed this tip and got their situation resolved.

As mentioned in my prior post and in the SW Hotels Terms of Sale (I say it again with emphasis), always save a PDF or screenshot of the "You're All Set" Confirmation confirmation page going forward. Same can be said for everything else related to online reservations...yes, that includes online delivery and pick-up orders from the local fast food place too...I've been guilty too of just putting the phone to sleep after placing food orders only to notice the food order is running late, I didn't get the email, I re-open the browser and the web browser screen reloads and sends me back to the food provider's homepage. Can't blame the McD's or whoever is delivering the food for this. That was a lesson for me to save the screenshots of these confirmations too in case the order no-shows.

That's my closing argument on why the SW Hotels and Booking.com operations is legit and not a scandal to the industry.

Hope this helps.

This exact thing happened to me today. I never received email confirmation. I called hotel and they told me they received my reservation from TBO but no one I talked to knows who TBO is. The hotel said they would cancel, but I had to call 3rd party for the refund. I called southwest and they said call Booking.com. I contacted booking.com and they could not find me in their system.  My credit card shows the pending charge for RTI*SWHotels. I have spent over two hours on this trying to get information and no one can help me.  If I book via southwest.com I should be able to call them and get information. I should not have to spend hours tiring to get a simple confirmation. At this point once the charge goes through as a charge, I may fight the charge unless someone can give me a confirmation or tell me who booked my reservation.

I am a Southwest A-list member and only fly Southwest. After this it will be very hard from me to stay loyal to them.

I am way beyond frustrated with the situation and disappointed in Southwest.
